Your 1st Meeting

Your first technical meeting is often a very interesting one because it will allow you to "debug" your approach. 

 

Positive things to expect from the first meeting:

 

  • People will volunteer to join your team and help
  • Your host (university, company) will be thrilled of having brought a new venue to their facilities
  • You will have a sense of accomplishment of "having done it."

Challenging things that may happen but should not bother you:

  • Projection equipment won't work from the get go
  • Audience may be small (10 attendees is typical for a first meeting and it climbs rapidely to another additional 5+ for each subsequent month).   

In any case, what ever happens at this first meeting, it will be an excellent source of information for the officers to enhance the approach for the next meeting. 

 

 

CHECK LIST FOR 1ST MEETING

 

SPEAKER

 

- Confirmed presence

- Received directions

- Explained what he/she is bringing (laptop, CD, USB cartridge, transparencies, slides)

 

OFFICERS

 

 

- have sent meeting announcements with location and directions

- have welcome statement prepared 

- have speaker bio to introduce the speaker

- have award for the speaker

AFTER THE MEETING

 

- Thank the speaker

- submit L31 form to IEEE
